At Zelescope Technologies Pvt Ltd, we understand that circumstances may change, and you may need to cancel a project. This Cancellation Policy outlines the terms and conditions for project cancellations based on the project stage and work completed.

Simple Cancellation Rules
✓ Before work starts: Full cancellation allowed
◐ Work in progress (0-50%): Partial refund may be discussed
✗ Project over 50% complete: Cancellation not possible
Cancellation Based on Project Stage
Your ability to cancel a project and receive a refund depends on how much work has been completed. We have three clear stages:
Stage 1: Before Work Begins
✓ CANCELLATION ALLOWEDTimeline: Before our team starts working on your project
Refund: Full refund of payments made, minus the initial deposit used for project planning and setup
Conditions:
- No development work has started
- No resources have been allocated to active development
- Project is still in the planning or pre-development phase
Stage 2: Work In Progress
◐ PARTIAL REFUND NEGOTIABLETimeline: After work begins but project is less than 50% complete
Refund: Partial refund subject to discussion and mutual agreement
Process:
- You must submit a cancellation request
- We will assess the work completed to date
- Both parties will discuss and agree on a fair partial refund
- Refund amount will be based on work completed and resources utilized
Stage 3: Nearing Completion
✗ CANCELLATION NOT POSSIBLETimeline: When project is more than 50% complete
Refund: No cancellation or refund available
Reason:
- Significant resources have been invested
- Project is nearing completion
- Deliverables are substantially ready
- Cancellation would result in unrecoverable costs
Alternative: We encourage you to proceed with project completion and receive all deliverables
How Project Completion is Measured
Project completion percentage is calculated based on:
- Milestones Completed: Number of agreed milestones that have been delivered and approved
- Development Hours: Amount of development time invested versus total estimated hours
- Deliverables: Percentage of agreed deliverables that have been completed
- Payment Schedule: Payments made as a proportion of total project cost
- Project Timeline: Time elapsed versus total project duration
Transparency: We provide regular project updates and milestone reports so you always know the status and completion percentage of your project.
Cancellation Request Process
Follow These Steps to Request Cancellation:
- Submit Written Request: Send a formal cancellation request via email to [Your Email Address] with your project details and reason for cancellation
- Project Assessment: Our team will assess the current status of your project and determine the completion percentage within 2-3 business days
- Discussion: We will schedule a call or meeting to discuss the cancellation, project status, and potential refund (if applicable)
- Agreement: Both parties will reach a mutual agreement on the cancellation terms and any applicable refunds
- Documentation: A formal cancellation agreement will be prepared and signed by both parties
- Refund Processing: If a refund is agreed upon, it will be processed within 15-30 business days
Non-Refundable Items
Regardless of the project stage, the following are non-refundable in all cancellation scenarios:
- Initial Deposit: Covers project planning, analysis, and team allocation costs
- Completed Work: Payment for all completed milestones and deliverables
- Third-Party Costs: Domain registration, hosting, SSL certificates, API subscriptions, licenses, etc.
- Administrative Fees: Processing and setup fees
- Resource Allocation Costs: Costs incurred for team assembly and resource planning
Partial Refund Calculation (Stage 2)
When a project is in Stage 2 (0-50% complete), the partial refund will be calculated as:
Refund Formula:
Total Paid – Initial Deposit – Value of Work Completed – Third-Party Costs – Cancellation Fee (if applicable) = Refund Amount
Example Scenario:
- Total Project Cost: ₹2,00,000
- Amount Paid: ₹1,00,000 (50% advance)
- Work Completed: 30%
- Initial Deposit: ₹20,000
- Value of Work Done: ₹60,000
- Third-Party Costs: ₹5,000
- Eligible Refund: ₹15,000
Important: The exact refund amount will be determined through mutual discussion and agreement. Each project is unique, and we will work with you to reach a fair resolution.
Client-Initiated vs. Company-Initiated Cancellation
Client-Initiated Cancellation
When you choose to cancel the project, this Cancellation Policy applies. Refunds, if any, will be determined based on the project stage as outlined above.
Company-Initiated Cancellation
If Zelescope Technologies must cancel a project due to:
- Our inability to fulfill the project requirements
- Technical impossibility discovered during development
- Breach of terms by the client
- Non-payment by the client
The refund terms will be discussed separately and will depend on the specific circumstances. Generally, work completed will be charged, and unused advance payments may be refunded.
Timeline for Refund Processing
If you are eligible for a refund:
- Assessment Period: 2-3 business days to evaluate project status
- Discussion Period: 3-5 business days to reach mutual agreement
- Documentation: 2-3 business days to prepare cancellation agreement
- Refund Processing: 15-30 business days after agreement is signed
Total Timeline: Approximately 3-6 weeks from initial cancellation request to refund receipt
Note: Bank processing times vary and are outside our control. International refunds may take longer.
Special Circumstances
Force Majeure Events
In case of unforeseen circumstances such as natural disasters, pandemics, war, or government restrictions that affect project delivery, both parties agree to discuss alternative solutions before considering cancellation.
Change in Project Scope
If you wish to change the project scope significantly rather than cancel, we encourage discussion about revising the project agreement instead of cancellation.
Pause Instead of Cancel
If you need to temporarily halt the project, we may offer a project pause option instead of cancellation. Terms for project pause will be discussed separately.
Alternatives to Cancellation
Before canceling, consider these alternatives:
- Project Pause: Temporarily suspend the project and resume later
- Scope Reduction: Reduce the project scope to fit your current needs and budget
- Timeline Extension: Extend the project timeline to reduce immediate pressure
- Milestone Adjustment: Adjust milestones to better suit your requirements
- Partial Delivery: Complete the project to the current milestone and receive those deliverables

Important Terms and Conditions
- All cancellation requests must be submitted in writing via email
- Verbal cancellation requests will not be processed
- The date of receipt of the written cancellation request will be considered as the cancellation date
- Work completed up to the cancellation date will be charged regardless of the stage
- Clients must continue to make scheduled payments until the cancellation is formally agreed upon
- Deliverables for completed milestones will be provided even after cancellation
- Intellectual property rights will be determined based on payment and completion status
- Both parties must sign a cancellation agreement before the project is officially terminated
Relationship with Other Policies
This Cancellation Policy should be read in conjunction with our:
- Terms and Conditions – Governs the overall relationship and services

- Privacy Policy – How we handle your information during and after cancellation
In case of any conflict between policies, the Terms and Conditions shall prevail, followed by this Cancellation Policy.
Before You Cancel – Consider This
Canceling a project mid-way can result in:
- Loss of investment in work already completed
- Inability to use partially completed deliverables
- Additional costs if you restart with another provider
- Delays in achieving your business objectives
